Workforce Qualification Tracker for Mixed Crews

Track which workers hold which assigned qualifications, when they expire, and where the evidence sits — employed, subcontracted and agency in one matrix.

  • Qualifications against roles you assign
  • Employed, subcontracted and agency on one grid
  • Status calculated from today’s date
  • Upload the register you already keep

14-day free trial. No card required.

One grid for the people who actually work

Qualification lists fail when agency and subcontract names live in a second spreadsheet. Keep worker type on the same matrix as the dates.

Dates without files are half a record

A qualification date with no certificate still fails the first client ask. Attach the PDF or card image on the worker.

Reminders before the booking is already made

Renewals need lead time. Warnings follow the dates on the record rather than a diary someone stopped opening.

  • You choose the warning period
  • You choose who is notified
  • Links to the workers involved

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

A workforce qualification tracker is a live grid of people against the qualifications their roles need, with expiry status and evidence. FieldClear imports your spreadsheet, calculates current, expiring, expired and missing, and can remind you before renewals. It tracks what you assign — it does not decide legal requirements or certify competence.

Why qualification lists go stale

HR holds NVQs, contracts holds cards, and the supervisor holds phone photos. By the time a principal contractor asks who is qualified for Monday, three lists disagree. A tracker that updates from dates — and holds the file beside the date — replaces the weekly recolour.

How teams usually start

  1. Upload the qualification matrix or register you already maintain.
  2. Map columns to named requirements rather than a generic “qualified” cell.
  3. Mark worker type so client packs can separate employed and subcontracted people.
  4. Attach certificates as they arrive.
  5. Turn on reminders matched to how long your renewals actually take.

What FieldClear does not do

  • It does not determine which qualifications the law or a client requires.
  • It does not issue, verify or replace awarding-body registers.
  • A green cell is not proof of competence or site authorisation.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Questions people ask before signing up

Who is FieldClear for?

Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Can I track subcontractors?

Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
