Training Matrix & Certificate Tracking for Water Treatment
Keep process, hygiene and site-access records visible for treatment-works and contractor crews — without treating every water-trained date as interchangeable.
Examples of qualifications are illustrative. Your organisation decides which requirements to assign.

The operational problem
Water treatment and clean-water frameworks mix hygiene cards, process training and safety-critical tickets that renew on different clocks. Water treatment training matrix software puts those assigned requirements on one grid so a green “water trained” cell is not mistaken for current confined-space cover or the right client hygiene scheme.
Hygiene schemes are not interchangeable
One client’s water-hygiene or blue-card pathway may not satisfy the next framework, but Excel still shows one water column.
Process and access records diverge
Someone can hold plant or process briefings while the confined-space or face-fit evidence for today’s tank entry has already expired.
Clean and waste scopes blur in one sheet
People move between asset types while a single status stays green and nobody re-checks the assigned package.
What water treatment teams typically track
Examples only. Requirements vary by role, activity, client and site. FieldClear does not decide what is legally required.
- Water hygiene or blue-card style access training (scheme as assigned)
- Legionella awareness (where your process assigns it)
- Confined spaces entry training (level as assigned)
- Face-fit test for RPE in use
- COSHH awareness for treatment chemicals where assigned
- CAT and genny / cable avoidance where ground disturbance applies
- NRSWA units where street works form part of the package
- CSCS or client site card where required for access
- First Aid at Work or Emergency First Aid at Work
- Client or works induction (often short renewal cycles)
- Manual handling for chemical and equipment tasks

Fictional example for illustration. Status labels mirror how a live matrix surfaces current, expiring, expired and missing records.
Why spreadsheets struggle in this sector
Water-treatment and utilities spreadsheets age badly because client schemes and task tickets renew on different calendars. A hygiene card that looked fine at tender has a different acceptance rule on the next framework. Confined-space entrant dates sit in a site folder while legionella awareness is a tick box with no scope note. When a tank entry is brought forward, nobody can filter who holds current top-cover arrangements without opening three inboxes. Versioned workbooks multiply across regions, so the matrix the auditor saw last quarter is not the file the supervisor opened this morning.
How it works
From spreadsheet to live matrix in minutes.
No implementation project. No onboarding calls. Start with the file you already maintain.
Step 1: Upload your matrix
Import your existing Excel or CSV file.
Step 2: We organise it
Map workers, roles, requirements and expiry dates.
Step 3: See what needs attention
Instantly see expired, expiring and missing requirements.
Expiry tracking
See what’s expiring before it blocks work.
Expired, expiring and missing records surface as a work list. Attach certificate files to the same worker record as the date so evidence and status cannot drift apart.

Quick answer
Water treatment training matrix software tracks technicians, operatives and supervisors against the hygiene, legionella-awareness, confined-space and induction records your organisation assigns — with statuses, evidence and reminders. It does not grant asset access, approve hygiene arrangements or determine public-health compliance. See training matrix software for the product overview and the utilities and water training matrix hub for operational framing.
Competency matrix vs training matrix
Competence for process control, isolation or confined-space entry is a judgement for dutyholders and competent people. A training matrix only shows whether assigned records exist and whether dates are current. Do not merge subjective skill ratings with hygiene-card or confined-space expiry cells — that hides the difference between “attended awareness” and “authorised for this asset today”.
How FieldClear helps water-treatment teams
- Keep water-hygiene schemes distinct from legionella awareness where both are assigned
- Record confined-space level explicitly rather than a single “CS trained” tick
- Filter named crews before mobilisation and again when the asset type changes
- Attach card images so framework packs match the people on site
- Import the Excel sheet your regions already fight over
Client and water-company expectations vary by asset and framework. Use HSE guidance for general health and safety context, including legionella and confined spaces topics where relevant to your duties. Treat every column in FieldClear as something you chose to assign — not a statutory shopping list published by the software.
Certificate storage and reminders
Store hygiene cards, confined-space certificates and induction records on the worker. Reminders help when short-cycle client inductions lapse mid-programme and when face-fit dates cluster before a planned outage. Choose reminder lead times and recipients under pricing plans sized by active workers.
Example qualifications — framed honestly
Many UK treatment and utilities contractors track water-hygiene or blue-card style access training, legionella awareness where assigned, confined-spaces entry, face-fit for RPE in use, COSHH awareness for treatment chemicals, cable-avoidance or NRSWA units where street works apply, and first aid. None of these is invented as a universal legal mandate here — assign what your risk process and clients require.

Questions people ask before signing up
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
When should we use FieldClear instead of Excel?
Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.
Can we separate water-hygiene cards from legionella awareness?
Yes — and you should when both appear in your process. Track the exact hygiene scheme or card as one requirement and legionella awareness as another, each with its own date and evidence. FieldClear will not decide which schemes a client accepts; it only reports against what you assign.
How do we stop one “confined spaces” cell hiding missing rescue or face-fit records?
Split the requirements. Keep entry training, any higher-risk pathway you assign, face-fit and rescue or top-person cover as separate columns where your method needs them. Filters then show exactly which gap blocks mobilisation.
Does FieldClear confirm water-company access rules for treatment works?
No. Framework and asset rules vary. Record the exact course or card your organisation accepts, attach evidence, and verify expectations with the relevant client documents. The matrix reports against your assignments only.
