What’s in the template

Three sheets. The matrix itself, a role requirements sheet, and a page of guidance on keeping it accurate.

• Worker rows with name, role, worker type and team — so subcontractors and agency workers can be tracked alongside employees.
• Requirement columns for CSCS, IPAF, PASMA, first aid, asbestos awareness and manual handling, which you can replace with your own.
• Conditional formatting that colours expired dates red, dates within 60 days amber, and current dates green — automatically, based on today.
• A distinction between blank (no record held) and N/A (not required), because an ambiguous empty cell is where problems hide.
• An evidence location column, so the certificate can always be found from the matrix.

How to use it well

1. Add your workers, including subcontractors and agency staff.
2. Replace the requirement columns with whatever your organisation assigns to each role.
3. Enter expiry dates as real dates in DD/MM/YYYY format — text such as “Aug 26” breaks sorting, filtering and the colour coding.
4. Leave a cell blank where a record is genuinely missing, and enter N/A where the requirement does not apply.
5. Record where each certificate is filed, so a date can always be backed up with evidence.
6. Put a recurring reminder in your own diary to review it, because the spreadsheet will not remind you.

It is a practical starting point, not legal or health and safety advice. It does not determine which training or qualifications are required for your workers or activities — your organisation is responsible for defining and reviewing its own requirements.
