Training Matrix & Certificate Tracking for Facilities Maintenance

Keep multi-site technicians visible against trade, asbestos, water and client-induction records before the helpdesk dispatches the job.

Examples of qualifications are illustrative. Your organisation decides which requirements to assign.

No credit card required.

The operational problem

Facilities maintenance teams cover many buildings with mixed employment types, and the evidence expected on one estate is rarely identical to the next. A facilities maintenance employee training tracker — covering employees, subcontractors and agency cover on the same matrix — should show inductions, asbestos and water-related awareness beside trade tickets, with honest N/A where a contract does not apply.

  • Requirements differ by contract

Each client site expects a slightly different evidence set, but the spreadsheet still has one company-wide green row.

  • Mixed workforces fragment records

Employees, subcontractors and agency technicians hold certificates in different inboxes until an audit lands.

  • Helpdesk allocates on memory

Urgent reactive jobs go to whoever is nearest while induction or awareness dates sit unchecked.

What facilities maintenance teams typically track

Examples only. Requirements vary by role, activity, client and site. FieldClear does not decide what is legally required.

  • Client or site induction (portal or classroom — as issued)
  • Asbestos awareness (where assigned for older estates)
  • Asbestos duty-to-manage awareness where your process assigns it to dutyholders
  • Legionella awareness or water-hygiene records where water assets are in scope
  • Fire marshal or warden training where assigned
  • Working at height awareness or ladder inspection where assigned
  • Lone working awareness where your process assigns it
  • Manual handling
  • COSHH awareness for cleaning or treatment chemicals where assigned
  • Trade or scheme cards relevant to hard-FM packages (as you record them)
  • Emergency First Aid at Work or First Aid at Work

Why spreadsheets struggle in this sector

Facilities-maintenance Excel trackers break when estates multiply. One column per building makes the sheet unreadable; one company-wide induction column hides portal expiries that differ by client. Asbestos awareness and legionella awareness collapse into “compliance trained”. Subcontractor certificates arrive as email attachments the night before an audit. Helpdesk staff allocate reactive jobs from memory because filtering the matrix takes longer than calling the nearest van. By the time a client asks for named evidence for one site, you are rebuilding a pack from three folders instead of exporting from one live view.

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Expiry tracking

See what’s expiring before it blocks work.

Expired, expiring and missing records surface as a work list. Attach certificate files to the same worker record as the date so evidence and status cannot drift apart.

Reminders

Automatic reminders before renewals.

Choose how far ahead reminders fire and who receives them. Plan refresher booking while there is still time — not the morning a card fails at the gate.

Quick answer

A facilities maintenance employee training tracker is a live matrix of technicians, supervisors and cover staff against induction, asbestos, water-related and trade requirements your organisation assigns — with automatic statuses, evidence and reminders. It does not grant site access or judge competence on a system. See training matrix software and the facilities management training matrix hub.

Competency matrix vs training matrix

Competence for electrical, HVAC, water or fabric work includes authorisation, supervision and safe systems — far more than a training date. FieldClear records the courses and cards you assign. Keep competency judgements and permit controls outside the expiry grid so a green induction cell cannot be read as “cleared for every plant room”.

How FieldClear helps facilities-maintenance teams

  • Assign different baselines for soft services, hard FM, supervisors and agency cover
  • Keep client inductions on short renewal cycles without rewriting core trade columns
  • Filter by role, status and expiry window before helpdesk dispatch
  • Include subcontractors on the same matrix with clear worker types
  • Export site packs without rebuilding folders per estate

For general health and safety context see HSE guidance. Asbestos, legionella and fire arrangements are dutyholder responsibilities — FieldClear does not determine what the law or a client requires. Where construction-adjacent sites expect CSCS-style access cards, confirm current acceptance rules with CSCS and the client.

Certificate storage and reminders

Attach induction confirmations, awareness certificates and trade evidence to each worker so contracts can build packs without hunting job folders. Reminders reduce the chance that a portal induction expires between planned and reactive visits. Plans and the 14-day trial are on pricing.

Example qualifications — verify against your contracts

Common examples include client inductions, asbestos awareness on older estates, legionella or water-hygiene records where water assets are in scope, fire marshal training, lone working awareness, working-at-height or ladder inspection where assigned, and first aid. Trade or scheme cards belong where your hard-FM packages actually use them. These are organisation-assigned examples, not a universal legal list.

Questions people ask before signing up

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Should we create one induction column per building?

Usually not. Prefer a site-induction requirement with clear evidence of which estates are covered, or a separate induction log, unless a client truly issues a distinct expiring induction per building. Too many building columns make the matrix unreadable and still go stale.

Can subcontract and agency technicians sit on the same tracker as employees?

Yes. Record worker type so you can filter when a client asks specifically about directly employed staff. Assign the same role baselines or a thinner cover set — that choice is yours. Evidence and expiry statuses work the same way either way.

Will this replace our helpdesk or CAFM qualification check?

No. FieldClear shows who is current, expiring or missing against the requirements you assign, and reminds you before dates pass. Dispatch rules, permits and CAFM workflows remain with your operations process. Tracking dates is not the same as allocating a job.
