How to use the generated file
The download is a starting grid, not a finished compliance system.
- Open the CSV in Excel or Google Sheets.
- Replace sample worker rows with your real workforce (including subcontractors if you track them).
- Enter expiry dates as real dates (DD/MM/YYYY). Leave blank when missing; use N/A when not required.
- Note where evidence is filed in the Evidence location column.
- When colouring cells by hand becomes the job, upload the sheet for automatic status and reminders.

Why generate a matrix instead of starting from a blank sheet?
Blank spreadsheets stall on the first decision: which columns? Industry presets give you a realistic starting set of roles and requirements you can edit — including removing anything that does not apply to your organisation.
The generator does not invent legal obligations. It produces column headers. You decide which requirements each role is assigned, based on your work, customers and sites.

What happens after you download
Fill dates. Review weekly. Spreadsheets will not remind you before a card lapses — that is the usual failure mode. When you outgrow manual review, import the same structure into software that calculates status and sends reminders.
Questions people ask before signing up
Is the training matrix template really free?
Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
What is a training matrix?
A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
