Training Matrix Excel Spreadsheet

How to structure an employee training spreadsheet, calculate expired and expiring status with formulas, and keep the file usable until you need reminders and a single live version.

No email required. 14-day free trial. No card required.

Recommended spreadsheet structure

Keep one workbook with three sheets: the matrix, role requirements, and a short instructions page. Put workers in rows and assigned requirements in columns. Store expiry dates as real Excel dates, not free text.

Example formulas for expiry tracking

Assume an expiry date sits in cell F5. Add a Status column (or apply conditional formatting directly to the date cell):

  • Days until expiry: =IF(OR(F5="",F5="N/A"),"",F5-TODAY())
  • Status: =IF(OR(F5="",F5="N/A"),"",IF(F5<TODAY(),"Expired",IF(F5<=TODAY()+60,"Expiring soon","Current")))
  • Use N/A when the requirement does not apply; leave blank when the record is missing.

Conditional formatting that stays honest

  1. Select the date columns (not the whole sheet).
  2. Add a rule for dates less than TODAY() — red fill for expired.
  3. Add a rule for dates between TODAY() and TODAY()+60 — amber for renewals due soon.
  4. Add a rule for dates after TODAY()+60 — green for current.
  5. Exclude blanks and the text N/A so empty cells do not look “current”.

Our free template already includes these rules. Apply the same logic if you build from scratch.

Limitations of manual Excel tracking

  • Nothing emails you before a date passes.
  • Versions multiply — “FINAL v3” stops being trusted.
  • Evidence usually lives in another folder or inbox.
  • New rows often miss the formatting rules.
  • History of what changed is invisible.

Migrate an Excel matrix into FieldClear

When the spreadsheet becomes the bottleneck, upload the same file. FieldClear maps workers and requirements, calculates status from expiry dates, attaches certificates to the record, and sends reminders before renewals are due. You do not need to redesign the grid — keep the shape you already use.

Prefer a construction-framed starting point? Use the construction training matrix template. For definitions first, read what is a training matrix.

Excel spreadsheet → missed renewals → live matrix

Download the free template and run it for as long as it works. When you need one version, attached evidence and automatic reminders, upload the file and start a 14-day trial — no card required.

Questions people ask before signing up

Is the training matrix template really free?

Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.

What is a training matrix?

A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
