Qualification Tracker Software for UK Contractors

Track worker qualifications, cards and certificates with expiry dates in one live matrix. Import your spreadsheet, attach evidence and get reminders before renewals — not another static list.

  • Qualifications and cards with real expiry dates
  • Status calculated from today — not coloured by hand
  • Evidence attached to the worker record
  • Import the spreadsheet you already maintain

14-day free trial. No card required.

Every qualification, one grid

See who holds which assigned qualifications and when they expire — across employees, subcontractors and agency workers.

Evidence next to the date

Attach the card photo or certificate PDF to the worker. When a client asks for proof, you are not hunting email.

Reminders before renewals

Spreadsheets record the date; they cannot email you sixty days out. Configure who gets warned and how far ahead.

  • Warnings before renewals, not after
  • You choose recipients
  • Each reminder links to the workers involved

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

Qualification tracker software for contractors records who holds which assigned qualifications and cards, when they expire, and where the evidence is. FieldClear is that kind of tracker: import your Excel matrix, calculate current / expiring / expired / missing from today’s date, and send reminders. It does not decide which qualifications the law requires, and it is not an LMS.

What a qualification tracker actually does

Most teams already have a spreadsheet of names and tickets. The failure mode is not missing a column — it is a date that passed while nobody opened the file. Software checks every record against today, every day, and can contact you before a renewal window closes.

  • Import Excel or CSV and map columns before anything is created.
  • Assign requirements by role so supervisors and operatives are not scored against the same list.
  • Store certificates on the worker record.
  • Filter by status, role and expiry window when a client asks for a named list.

What FieldClear does not do

  • It does not determine legal or scheme qualification requirements for you.
  • It does not deliver courses or assessments (it is not an LMS).
  • A green status means the date you entered has not yet passed your threshold — not that someone is authorised for a particular site.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Questions people ask before signing up

Who is FieldClear for?

UK contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS or COSHH.

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Is this an LMS?

No. The product tracks workforce qualifications, evidence and expiry dates. It does not deliver e-learning courses or assessments.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.
