NVQ Training Records — Awards That Often Do Not Expire

Record which NVQs people hold, the award date and the certificate file. NVQs often have no expiry — do not invent one. Pair them with the site cards that do expire.

  • Named NVQ, not a qualified yes cell
  • No fake expiry if the award has none
  • CSCS and other cards tracked beside it
  • Certificate file on the worker

14-day free trial. No card required.

Awards and cards are different clocks

An NVQ may underwrite a CSCS card and still not expire with it. Keep the award and the card as separate requirements.

Do not colour an NVQ green forever without a file

If you claim an NVQ, hold the certificate. A date with no file still fails the first evidence ask.

Reminders belong on the things that lapse

Put warnings on CSCS, first aid and similar. Only add a review date to an NVQ if your process truly has one.

  • Card dates get reminders
  • NVQ files stay attached
  • You choose what is assigned

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

NVQ training records in FieldClear means storing the named award, the date you can evidence, and the certificate, usually beside the site cards that do expire. FieldClear does not issue NVQs. Many NVQs do not expire — this page does not pretend otherwise. See our guide on whether NVQs expire.

The qualified column

Spreadsheets say “NVQ — yes”. They do not say which award, at which level, or where the certificate is. When a card renewal needs the underlying NVQ, the hunt starts. Named awards with files attached end that hunt.

Record the award; track the card separately

  1. Add the NVQ title and level as a requirement — not “qualified”.
  2. Enter the award date from the certificate.
  3. Attach the file.
  4. Leave expiry blank if the award has none; do not invent a date to make the RAG work.
  5. Track CSCS or occupation cards as their own requirements.

What FieldClear does not do

  • It does not issue or verify NVQs.
  • It does not decide whether an NVQ underwrites a particular card.
  • It does not replace awarding organisations or training providers.

For the expiry question in plain language, read do NVQs expire. That guide stays informational; this page is the product view for storing the records.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I track CSCS card expiry dates?

Yes. Record the card type and expiry date against each worker, attach a photo or PDF of the card, and the matrix shows current, expiring, expired or missing automatically.

Is my data private?

Each organisation's data is isolated from every other organisation's. Documents and records are encrypted in transit and at rest, access is controlled by user permissions, and you can export or delete your data at any time. We host in the UK and EU.

Who is FieldClear for?

Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
