Training Matrix & Certificate Tracking for Construction

See which operatives, supervisors and managers meet the cards and courses your roles assign — with expiry statuses that update themselves.

Examples of qualifications are illustrative. Your organisation decides which requirements to assign.

No credit card required.

The operational problem

Main contractors and trade packages move people between sites faster than a shared spreadsheet can keep up. Construction certificate tracking software keeps worker rows against role-assigned requirements, with evidence on the same record as the date. You define what each role needs; FieldClear calculates current, expiring, expired and missing.

  • Gate turn-aways mid-mobilisation

A CSCS or IPAF date that looked fine at tender has expired by the start-on-site week, and nobody spotted it in the shared file.

  • Evidence lives outside the matrix

Card photos sit in WhatsApp and certificates sit in email while the Excel row only shows a colour — so packs take an afternoon to assemble.

  • Roles collapse into one column set

Labourers, skilled trades, supervisors and managers share the same green cells even when SMSTS, SSSTS and plant categories do not apply the same way.

What construction teams typically track

Examples only. Requirements vary by role, activity, client and site. FieldClear does not decide what is legally required.

  • CSCS card (record colour/type and occupation as printed)
  • SMSTS (where your organisation assigns it to managers)
  • SSSTS (where assigned to supervisors)
  • IPAF 3a/3b (MEWP category as used)
  • PASMA Towers for Users
  • Asbestos awareness (where fabric disturbance is foreseeable)
  • Working at height awareness (scope as assigned)
  • Emergency First Aid at Work or First Aid at Work
  • Manual handling (task-relevant delivery)
  • Temporary works awareness (where your process assigns it)
  • Site or client induction (often short renewal cycles)

Fictional example for illustration. Status labels mirror how a live matrix surfaces current, expiring, expired and missing records.

Why spreadsheets struggle in this sector

A construction Excel matrix usually starts tidy: one tab, named roles, a few conditional-formatting rules. Then subcontractors arrive as photo cards, a principal contractor asks for a different evidence set on the next site, and three people edit copies of the same file. Colours lag behind real expiry dates. Someone pastes “Aug 26” instead of a sortable date. Managers look current company-wide while the only SMSTS holder on tomorrow’s shift is already expired. Filtering who can cover a night pour becomes a manual hunt across folders rather than a status view you can trust before vans leave.

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Expiry tracking

See what’s expiring before it blocks work.

Expired, expiring and missing records surface as a work list. Attach certificate files to the same worker record as the date so evidence and status cannot drift apart.

Reminders

Automatic reminders before renewals.

Choose how far ahead reminders fire and who receives them. Plan refresher booking while there is still time — not the morning a card fails at the gate.

Quick answer

Construction certificate tracking software is a live training matrix for UK contractors: workers against the cards and courses your organisation assigns, with automatic current / expiring / expired / missing statuses, attached evidence and reminders. It does not decide what the law or a client requires. For the broader product picture see training matrix software; for sector operations see the construction training matrix hub.

Competency matrix vs training matrix

A competency matrix rates how well someone can perform a task. A training matrix records what they hold and when it expires — CSCS type, SMSTS date, IPAF category, first-aid certificate. FieldClear is training-matrix software: dates, evidence and reminders against assigned requirements. It does not score competence, authorise work or replace supervision. Keep subjective skill ratings out of the same cells as expiry dates if you want either view to stay honest.

How FieldClear helps construction teams

  • Import an existing Excel or CSV matrix, map columns, preview, then confirm
  • Assign different requirement sets to labourers, trades, supervisors and managers
  • Filter by role, status and expiry window before mobilisation
  • Distinguish blank (missing) from N/A when a column does not apply
  • Invite multiple users with permissions instead of emailing workbook copies

Suggested role templates are starting points only. Adjust columns to match what your contracts, principal contractors and method statements actually call for. Scheme rules for CSCS and CITB courses sit with the scheme owners — check CSCS and general health and safety guidance on HSE rather than treating any vendor page as a mandate list.

Certificate storage and reminders

Attach card images and certificate PDFs to the worker record so the file travels with the date. Reminders fire before renewals on the lead times you choose, which matters when SMSTS refresher places are scarce and several managers trained together. Export when a client or SSIP assessment asks for a pack. Transparent pricing is based on active workers; the 14-day trial needs no card.

Example qualifications — not a legal shopping list

Common examples UK construction firms track include CSCS cards (with occupation and colour recorded accurately), SMSTS and SSSTS where assigned to management and supervisory roles, IPAF and PASMA where access methods require them, asbestos awareness where disturbance is foreseeable, working-at-height awareness, and first aid based on your needs assessment. None of these columns is automatically “required by FieldClear”. You assign them; we track the records.

Templates and next steps

Start from the free construction training matrix template, or upload the sheet you already run. When you want sector language for site allocation workflows, use the construction training matrix vertical. FieldClear tracks assigned requirements only — it is not legal advice and a current cell is not clearance for site.

Questions people ask before signing up

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Can we track CSCS card type and occupation, not just a yes/no?

Yes. Record the card type or colour pathway, the occupation printed on the face, the expiry date and a readable image. That stops a blue carpenter card looking interchangeable with another skilled route in filters. FieldClear still does not verify scheme eligibility — confirm renewals and upgrades with CSCS where needed.

How do we handle different principal-contractor evidence packs?

Keep a baseline role set for your company, then add site or client inductions as separate short-cycle requirements rather than rewriting the whole matrix per job. Filter the named gang before mobilisation and export evidence from the same records. You decide what each client pack needs; the software does not invent client rules.

Will this replace our SMSTS and SSSTS booking process?

No. FieldClear shows who is current, expiring or missing against the management and supervisory courses you assign, and reminds you before dates pass. Course booking, refresher eligibility and provider choice remain with your training coordinator. Tracking dates is not the same as arranging places.
