Employee Training Tracker Built for Operational Teams
Track requirements, completion, evidence and expiry across employees, subcontractors and agency workers. This is not an LMS — it does not deliver e-learning courses.
- Employees, subcontractors and agency workers in one view
- Requirements assigned by role, not one list for everyone
- Reminders before refresher training lapses
- Import the spreadsheet you already maintain

Not everyone needs the same training
Assign requirements to roles, and the tracker checks each worker against their own role's list rather than a single company-wide set.

Refresher training is the easiest thing to lose track of, because the cycles are short and nothing announces them.

Staff training tracking without a spreadsheet
Most teams start with a spreadsheet because the job looks simple: names down one side, courses across the top. It stays simple right up until the point where refresher cycles, role changes and new starters make the file a maintenance task in its own right.
A tracker takes the maintenance away. Statuses are derived from expiry dates rather than typed. Adding a requirement to a role checks every worker in that role immediately. New starters inherit their role's requirements automatically, and the gaps show up on day one rather than at the next audit.
Employees, subcontractors and agency workers
In field-service and construction businesses, the workforce is rarely all directly employed. Workers can be recorded as employees, subcontractors, agency workers or other types, tracked side by side, and filtered by type when a client asks specifically about directly employed staff.
What this is not
It is not a learning management system. It does not deliver courses, host e-learning or run assessments. It tracks what training your workers hold, when it expires and where the evidence is — which is a different job, and the one most contractors actually need doing.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Can I track subcontractors?
Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.
Is this an LMS?
No. The product tracks workforce qualifications, evidence and expiry dates. It does not deliver e-learning courses or assessments.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Can multiple managers use it?
Yes. Invite other users and set permissions so people see and change only what is appropriate for their role.
Do workers need logins?
No. Only the people who manage records need accounts. Workers do not need to log in for you to track their qualifications and evidence.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
