Training Matrix & Certificate Tracking for Roofing

Keep pitched, flat and industrial roofing crews visible against height, harness, access and site-card records before vans are dispatched.

Examples of qualifications are illustrative. Your organisation decides which requirements to assign.

No credit card required.

The operational problem

Roofing teams move between domestic, commercial and industrial roofs where the access plan changes the evidence you need. A roofing employee training tracker — covering employees, subcontractors and agency workers on the same matrix — should show height, harness, MEWP or tower records beside trade and site cards, with honest N/A where a method does not apply.

  • Access method changes the ask

Scaffold, MEWP, tower and fixed-system jobs each need different assigned evidence, but the spreadsheet still has one “WAH” column.

  • Short-duration jobs hide expiries

Crews mobilise so quickly that harness or IPAF dates are checked after vans have already left the yard.

  • Trade and access records are split

Roofing NVQ or CSCS evidence sits with HR while harness inspection and MEWP categories sit with contracts.

What roofing teams typically track

Examples only. Requirements vary by role, activity, client and site. FieldClear does not decide what is legally required.

  • CSCS skilled worker or labourer card (occupation as printed)
  • Roofing occupations NVQ or equivalent pathway evidence where you record it
  • Working at height awareness (scope as assigned)
  • Harness user training
  • Harness inspection (competent person — keep separate from user training)
  • IPAF 3a/3b where MEWPs are used
  • PASMA Towers for Users where towers are used
  • Asbestos awareness for older roof coverings and interfaces
  • CISRS card where scaffold erection/alteration is part of your package
  • Manual handling
  • Emergency First Aid at Work
  • Abrasive wheels where cutting equipment is used

Why spreadsheets struggle in this sector

Roofing Excel trackers break when access methods rotate through the week. Monday’s tower gang shares a file with Wednesday’s MEWP crew, so PASMA and IPAF dates share a vague “access” cell. Harness user and harness inspection collapse into one date. Domestic jobs finish before anyone updates the sheet; commercial programmes run long enough for cards to expire mid-elevation. Photo evidence stays on supervisors’ phones. By the time a principal contractor asks for a named pack, you are rebuilding rows from memory instead of filtering a trustworthy matrix.

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Expiry tracking

See what’s expiring before it blocks work.

Expired, expiring and missing records surface as a work list. Attach certificate files to the same worker record as the date so evidence and status cannot drift apart.

Reminders

Automatic reminders before renewals.

Choose how far ahead reminders fire and who receives them. Plan refresher booking while there is still time — not the morning a card fails at the gate.

Quick answer

A roofing employee training tracker is a live matrix of roofers, labourers and supervisors against height, harness, access and site-card requirements your organisation assigns — with automatic statuses, evidence and reminders. It does not design edge protection or judge competence on a roof. See training matrix software and the roofing training matrix hub.

Competency matrix vs training matrix

Work at height competence includes planning, equipment selection, supervision and rescue — far more than a training date. FieldClear records the courses and cards you assign. Keep competency judgements and rescue plans outside the expiry grid so a green working-at-height cell cannot be read as “safe for every roof system”.

How FieldClear helps roofing contractors

  • Assign different baselines for roofers, labourers, supervisors and MEWP leads
  • Keep IPAF categories and PASMA records explicit for the chosen access method
  • Separate harness user training from harness inspection tickets
  • Review dates at quotation, mobilisation and during longer commercial programmes
  • Include subcontractors on the same matrix with clear worker types

For general work-at-height duties see HSE guidance. Where sites require CSCS-style access cards, confirm current acceptance rules with CSCS. CISRS belongs on the matrix only when scaffold work is genuinely part of your package — it is a scaffolding scheme, not a generic roofing card.

Certificate storage and reminders

Attach CSCS images, height certificates and IPAF evidence to each worker so contracts can build packs without hunting job folders. Reminders reduce the chance that a harness or MEWP date expires between a short domestic run and the next industrial roof. Plans and the 14-day trial are on pricing.

Example qualifications — verify against your risk assessment

Common examples include CSCS cards, roofing pathway evidence, working-at-height awareness, harness user and inspection training, IPAF or PASMA matched to access plant, asbestos awareness on older coverings, and first aid. Add CISRS only where your crews erect or alter scaffold as part of the roofing package. These are organisation-assigned examples, not a universal legal list.

Questions people ask before signing up

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Can subcontract roofers sit on the same tracker as directly employed crews?

Yes. Record worker type so you can filter employees, subcontractors and agency workers. Assign the same role baselines or a thinner subcontractor set — that choice is yours. Evidence and expiry statuses work the same way either way.

Should CISRS appear on a roofing matrix?

Only when scaffold erection, alteration or striking is part of what your organisation sends to site. CISRS is the scaffolding scheme card pathway. For pure roofing access via MEWP, tower or fixed systems, IPAF, PASMA and harness records are usually the relevant columns — still assigned by you, not by FieldClear.

How do we stop one “working at height” cell hiding missing rescue or harness inspection records?

Split the requirements. Keep awareness, harness user, harness inspection and rescue (if you assign it) as separate columns with their own dates and evidence. Filters then show exactly which gap blocks allocation instead of a single green height cell.
