Training Matrix Software: What Features Actually Matter?
The training matrix software features that matter are spreadsheet import, status calculated from today’s date, evidence on the record, expiry reminders, role-based assigned requirements, and clean export — not a long feature checklist you will never use.
Ignore vanity AI claims and LMS detours unless you actually need course delivery. Most contractors replacing Excel need the grid to stay true and the renewals to get chased.
1. Spreadsheet import
You already have a matrix. Import from Excel or CSV should map workers, requirements and dates without a week of re-typing. If onboarding starts with a blank canvas only, you will stall.
2. Auto status from today’s date
Current, due soon, expired and missing should be calculated — not hand-coloured. Manual status is how Excel drifts. Status still reflects your assigned requirements; software does not invent legal mandates.
3. Evidence on the worker record
Attach card images and certificates to the person and requirement. A date without a file fails the first serious client request. Shared-drive archaeology is not a feature.
4. Expiry reminders
Email or in-app alerts at sensible windows (for example 30 / 60 / 90 days) to people who can book renewals. Reminders without an owner just create noise.
5. Roles and assigned requirements
Different roles need different columns. The product should let you assign requirements by role (and handle not-required cleanly). Requirements still vary by activity, customer and site — configure what you assign.
6. Export and audit trail
You will still need to send a pack or a filtered list. Export to spreadsheet or PDF, plus a basic activity history, beats a black box you cannot leave.

- Skills proficiency scoring mixed into the same cells as expiry dates
