Excel vs Training Matrix Software: When Is It Time to Switch?

What Excel does well

• Fast to start — no procurement cycle
• Familiar filters and pivots for ad-hoc questions
• Easy to email a snapshot (for better or worse)
• Fine when one person owns updates end to end

Where Excel quietly fails

• Multiple “final_v7” copies across drives and phones
• Hand-coloured status that drifts from the real date
• No reliable reminders unless someone lives in the file
• Evidence scattered in email while dates live in the sheet
• Subcontractors edited by someone who does not know your N/A rules

What software actually adds

Good training matrix software keeps the same mental model — people, requirements, dates — and adds status calculated from today, reminders before renewal, and evidence on the record. It does not decide legal requirements. Requirements vary by role, activity, customer and site; you still assign them.

A practical switching rule

1. If you can open one file, trust the dates, and finish a weekly review in minutes — stay on Excel.
2. If you spend more time reconciling versions than reviewing expiries — switch.
3. If a missed expiry has already blocked work — switch sooner.
4. Upload the sheet you already have; do not rebuild from scratch for sport.

Hybrid that works

Many teams keep Excel for one-off analysis and use software as the live system of record. That is fine — as long as there is only one place where expiry truth lives.
