How to Choose Training Matrix Software for a Small Contractor

Choose training matrix software by importing your real spreadsheet, checking that status, reminders, evidence and roles work for a 10–200 worker contractor, and walking away from tools that sell legal guarantees or force an LMS you do not need.

Under about ten workers with one careful owner, Excel can still be enough. This guide is for firms that have outgrown a single trustworthy sheet — typically multiple roles, subcontractors on the same view, or more dates than a weekly sort can cover.

1. Start from your matrix, not a blank demo

Ask for Excel or CSV import. If the vendor cannot load your columns without a consultancy project, you will live in dual systems. A short trial on real data beats a polished sandbox with fictional names.

2. Prove the six jobs that matter

  1. Import without destroying your requirement names
  2. Auto status from today’s date (current / due soon / expired / missing)
  3. Evidence attached to the person and requirement
  4. Reminders to someone who can book renewals
  5. Roles with assigned requirements and clear not-required handling
  6. Export when a client asks for a list or pack

3. Fit for 10–200 workers

You need clarity more than enterprise workflow engines. Prefer published pricing by workforce size, a small set of admin users, and permissions that stop accidental edits — not a six-month implementation.

4. Questions to ask every vendor

  • How do you count active workers vs archived leavers?
  • Who receives expiry reminders, and can we set 30 / 60 / 90 day windows?
  • Can we mark not-required without fake dates?
  • What happens to our data if we export and leave?
  • What does the trial include — full product or a crippled tier?

5. Decision rule

Pick the tool that makes Monday’s allocation questions faster without creating a second source of truth. FieldClear is aimed at that job: upload your matrix, track assigned requirements, store evidence, and get reminders — from £29/month with a 14-day free trial. Requirements still vary by role, activity, customer and site; no software replaces that judgement.
