How to Share a Training Matrix with a Client
Share a training matrix by filtering to the people on the package, verifying expiries and files, exporting to the client’s required format, and keeping a dated copy of exactly what you sent. Do not email an unfiltered company-wide workbook with leavers and irrelevant trades still visible.
Quick answer
Agree the audience (named crew), clear critical gaps, export or upload, then log the submission date. If the client samples certificates, have files ready against the same names — not a separate hunt through inboxes.
Before you send
- Confirm which workers are in scope
- Remove leavers and unrelated packages
- Run expired / due / missing filters
- Attach or stage evidence for high-risk rows
- Check spellings match inductions and badges
Sharing sequence
- Receive the client template or portal instructions.
- Produce the filtered extract from the live matrix.
- Spot-check three to five rows end-to-end including files.
- Submit via the requested channel only.
- Store the sent file and confirmation in your job record.
Aftercare
Substitutions happen. When a worker changes, update the live matrix and send a revised extract if the client requires it. Silent swaps are a common complaint from principal contractors.
