How to Export a Training Matrix for Audit
An audit export should be a dated, named snapshot that matches the question asked—current people, clear statuses and readable evidence—not a live spreadsheet that changes while the assessor is reading it.
Clarify the audit question first
Internal SHEQ audits, principal-contractor returns, SSIP member assessments and insurer reviews ask different questions. Some want a full workforce; others want a sample; others want only supervisors. Write the scope on the export cover sheet: project or company, date frozen, population included, and which requirements appear as columns. That single page prevents assessors from assuming silence means absence. If the request arrived by email, paste the original wording into the cover note so your extract stays faithful to what was asked.
Pre-export quality checklist
- Population agreed and duplicates removed
- Requirement names standardised for the columns in scope
- Expired, missing and not-required statuses distinct
- Evidence files openable and matched to the correct person
- Subcontract employer shown where relevant
- Personal data minimised to what the auditor needs
- Filename and folder include organisation, scope and ISO date
Export workflow
Freeze, verify, export, then stop editing that snapshot. Further corrections belong in a revised version with a change note.
- Filter the live matrix to the audit population and requirement set.
- Resolve critical gaps or document them as known actions.
- Generate the export and attach or link evidence as the auditor expects.
- Spot-check at least five random rows against source certificates.
- Issue the pack with a version number and contact for queries.
- Store the identical pack in your audit folder structure.
Make follow-up questions cheap to answer
Assessors often ask why a date changed or why someone is marked not required. Keep history in the live system so you can explain without rewriting the submitted pack. If you must issue a correction, send a clearly labelled revision rather than silently replacing files on a shared link. For multi-site companies, state which employing entity the export covers. When the audit is project-specific, exclude people who never attended that site so the sample stays credible. If the auditor wants evidence files rather than links, download them into a zip that mirrors the row order so names and certificates stay aligned.
Practice the export before the formal notice arrives. A quarterly dry run for a mock client pack surfaces broken links and stale agency labour faster than an annual panic. Train more than one person to produce the pack so holidays do not become non-conformances. Prefer tools that produce consistent column orders; evaluators notice chaotic CSV layouts. After each real audit, capture which columns were queried most and tighten those fields in the live matrix—expiry accuracy, card type labels and supervisor courses usually top the list.
