Contractor Training Matrix — Live, Not Another Spreadsheet Tab

Run a contractor training matrix for employees, subcontractors and agency workers in one view. Import Excel, see expired and missing records, attach certificates and set reminders.

  • Employees, subcontractors and agency workers together
  • Requirements assigned by role
  • Expired, expiring and missing — calculated for you
  • Upload the matrix you already use

14-day free trial. No card required.

Built for mixed workforces

Contractor businesses rarely employ everyone on the sheet. Filter by worker type when a client asks about directly employed staff vs subcontractors.

The grid you already think in

Workers down the side, requirements across the top — with status derived from dates instead of recolouring cells every Friday.

Reminders between jobs

Mobilisations move faster than spreadsheet reviews. Warnings go out before cards lapse, not after a gate turn-away.

  • You choose the warning period
  • You choose who is notified
  • Links to the workers involved

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

A contractor training matrix is a live grid of workers against the training and qualifications their roles need, with expiry status and evidence. FieldClear imports your existing Excel matrix, calculates who is current, expiring or missing, and can remind you before renewals. It tracks records against requirements you assign — it does not decide legal requirements or deliver courses.

Why contractor matrices drift

Subcontractors join and leave. Agency cover changes weekly. Principal contractors ask for packs with little notice. A file that was accurate last month is already wrong — unless something recalculates status from today’s date without waiting for someone to open it.

How teams usually start

  1. Upload the training matrix you already maintain.
  2. Confirm roles and which requirements each role carries.
  3. Attach missing certificates and fix text dates that break sorting.
  4. Turn on reminders.
  5. Filter by worker type or status when a client asks for evidence.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Questions people ask before signing up

Who is FieldClear for?

UK contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS or COSHH.

Can I track subcontractors?

Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.
