What Format Do Clients Want for a Training Matrix?
Most clients want a dated extract that names workers, shows the requirements that apply, states expiries or statuses, and can be backed with certificate files. Spreadsheet and PDF are still common delivery formats; portals add field-by-field uploads. The format matters less than whether sampled rows are true.
Quick answer
Ask the client which template or portal they use, then map your live matrix to it. Deliver named people for the package, not a company brochure. Include evidence or a clear link between each row and its file.
Common delivery shapes
| Format | When it appears |
|---|---|
| Client Excel template | Frameworks and principal contractors |
| PDF matrix export | Email packs and tender appendices |
| Portal fields + file upload | SSIP and large PC systems |
| Sample certificates only | Follow-up after a matrix review |
Content they expect
- Worker name and employer (for supply chain)
- Role or trade
- Requirement titles matching their list where possible
- Expiry dates or explicit not-required marks
- Readable evidence on request
Preparation steps
- Obtain the client template or portal field list early.
- Filter your matrix to the named crew.
- Clear expired and missing critical items.
- Export or map fields carefully — do not retype from memory.
- Keep your own dated copy of what you submitted.
Honest limits
FieldClear exports and organises assigned training evidence. It does not guarantee a client will accept a pack, and it is not an accreditation body. Not legal advice.
