How to Hand Over the Training Matrix When the Owner Leaves

A matrix dies when only one person knows where the live file is, how columns work, and which clients need special inductions. Hand over access, documentation and open actions while the outgoing owner is still available to answer questions.

Quick answer

Appoint a successor early, grant system and folder access, walk through role baselines and live projects, transfer the gap log, and run one joint Monday mobilisation review before the leaving date. Revoke the leaver’s edit rights on day one after exit.

Handover pack contents

  • Path to the live matrix or software workspace
  • Column dictionary and not-required rules
  • File naming and evidence store locations
  • Open gaps and booked training
  • Client / site quirks (induction portals, card colour rules)
  • List of deputies and supervisor contacts

Two-week sequence

  1. Name the new owner and a backup.
  2. Shadow updates for a full week.
  3. Successor leads the next mobilisation filter with the leaver watching.
  4. Transfer ownership of reminders and agency contacts.
  5. Archive the handover note with the change log.

If the matrix lives only in one person’s OneDrive, move it to a team location before they leave — that is part of the handover, not an IT ticket for later.
