How to Assign Owners for Training Matrix Updates
Assign a single live-system owner, named deputies for sites or packages, and clear chase responsibility for agencies — then separate who may freeze an audit export. Shared ownership without names is how matrices go stale.
Quick answer
Write three roles down: matrix administrator (structure and access), operational updaters (dates and files for their crews), and approver for client packs. Put names, not department titles alone, and review after organisational change.
Ownership map
| Duty | Typical owner | Notes |
|---|---|---|
| Requirement library | HSEQ or training lead | Changes versioned |
| Employee dates/files | Site or contracts admin | Evidence attached same day |
| Agency chase | Buyer or labour coordinator | Checklist standard |
| Reminder responses | Named person per gang | Escalation path |
| Audit export freeze | Matrix admin + project lead | Dated pack stored |
Implementation steps
- List every person who currently edits the sheet — usually too many.
- Cut write access to the named map above.
- Publish a one-page ownership note with the matrix link.
- Add ownership review to monthly HSEQ or operations meetings.
- On leavers who owned the matrix, reassign within one working day.
What good looks like
Updaters know which filters to clear each Monday. Agencies receive one evidence standard. Client packs are frozen by someone who did not just discover the file that morning. Nobody asks “which version is live?”
Honest limits
