When Should You Replace Your Training Matrix Spreadsheet?
Replace your training matrix spreadsheet when versions multiply, expiries go unnoticed, or more than one person needs a trustworthy live view — not because Excel is inherently wrong. Under roughly ten workers with one careful owner, a spreadsheet can still work.
The goal is a matrix people trust on a Monday morning. Software is a means to that end: status from today’s date, evidence on the record, and reminders before renewals — usually by uploading the sheet you already have.
When Excel is still a sensible choice
- Around ten or fewer people on the matrix
- One named owner who updates joiners, leavers and renewals the same day
- A weekly or fortnightly expiry sort that actually happens
- Evidence filed in a way that owner can find quickly
- Little or no need for multiple simultaneous editors

How to replace without drama
- Clean dates and archive leavers in the spreadsheet first.
- Agree missing vs not-required rules.
- Upload into training matrix software during a trial.
- Run Excel and software side by side for one renewal cycle if you need confidence.
- Declare a cutover date and stop editing the old “final” copies.
