What CSCS tracking involves

CSCS cards are the most commonly requested proof of competence on UK construction sites. Cards carry an expiry date and are issued in several types, each tied to different qualifications.

Why the dates get missed

  • Cards expire on individual dates spread across the year, so there is no single renewal season to plan around
  • Renewals often require an up-to-date health and safety test, which takes time to book
  • An expired card is usually discovered at a site gate, by which point the day is already lost
  • Different card types have different validity periods, so a single blanket assumption will be wrong for someone

See every CSCS record at once

Workers down the side, requirements across the top. CSCS sits alongside everything else your organisation assigns, with the status worked out from the expiry date rather than typed by hand.

Told before it lapses

Reminders go out ahead of the date, to the people who can do something about it. You choose how far ahead and who receives them.

The certificate lives with the date

Attach a photo or PDF to the worker record so the proof and the date cannot drift apart. When a client asks for evidence, it is already assembled.

Tracking CSCS cards across a workforce

For a handful of workers, a diary reminder is enough. Past roughly twenty, individual dates stop being memorable and the failure mode changes: nobody forgets a specific card, they simply stop having a reliable view of all of them at once.

A tracker holds the card type and expiry date against each worker, stores a photo or PDF of the card itself, and works out whether each record is current, expiring, expired or missing. Reminders go out before the date rather than after.

What to record against each worker

  • The card type held, not just 'CSCS' — types differ in what they evidence and how long they last
  • The expiry date, as a real date rather than free text
  • An image or PDF of the card, so proof and date sit together
  • Whether the card is a requirement for that worker's role in your organisation

A note on requirements

Whether a CSCS card is required depends on the site, the client and the work — it is not a universal legal requirement, and the rules vary between principal contractors. You decide which of your roles carry it as a requirement. The tracker tracks what you assign; it does not determine what applies to you.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up

Can I track CSCS card expiry dates?

Yes. Record the card type and expiry date against each worker, attach a photo or PDF of the card, and the matrix shows current, expiring, expired or missing automatically.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I track subcontractors?

Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
