What’s in the template

The same robust Excel training matrix structure as our general download — framed for principal contractors and specialists who must see subcontractor training without inventing a second spreadsheet language.

  • Worker rows with worker type (employee, subcontractor, agency, other).
  • Conditional formatting from today’s date.
  • Blank vs N/A so “not yet provided” stays visible.
  • Evidence location for PDFs and card photos received from contractors.
  • A role requirements sheet you can issue as the expected column list.

Why subcontractors break spreadsheets

Employees change slowly; subcontractors arrive and leave with every package. If their training lives only in email threads, you discover gaps at the gate. Put them on the same matrix, filter by worker type, and treat a date without evidence as incomplete.

How to use it with your supply chain

  1. List subcontractors and labour-only workers who will attend site.
  2. Share the column list (or role requirements sheet) with preferred contractors in advance.
  3. Enter dates as DD/MM/YYYY when evidence arrives.
  4. Leave blank until a record is provided — do not type “chasing”.
  5. Filter to subcontractors before mobilisation.
  6. When chasing becomes a full-time job, use software with reminders and evidence on the record.

Disclaimer

This template helps you organise records you collect. It does not vet subcontractors, approve them onto site, or replace your contractual competence checks. This is not legal advice.

Questions people ask before signing up

Is the training matrix template really free?

Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.

What is a training matrix?

A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Can I track subcontractors?

Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Outgrown your spreadsheet?

Upload the same file and turn it into a live matrix with automatic expiry reminders.
