Gate checks are not the matrix — but they need it
FieldClear is not a turnstile product. It is the record behind a gate check: who you believe holds what, with a file if someone asks.

Reminders across packages
Supply-chain cards lapse on their own calendars. If you hold those records, warnings beat discovering the gap when the tower crane is booked.

Quick answer
A principal contractor training matrix records assigned training and expiry for people you employ and, if you choose, people in your supply chain whose records you hold. FieldClear does not approve contractors, run biometric gates, or decide CDM appointments.
Direct staff in HR, subcontractors in the package folder
The PC’s own SMSTS list is current. The cladding package’s CSCS list is a PDF from March. A live matrix will not replace contractor management, but it can hold the records you have actually been given so the pack is not a surprise.
Hold what you hold; do not pretend you hold the rest
- Import direct staff first.
- Add subcontractors only where you genuinely keep their records.
- Use worker type so filters stay honest.
- Leave missing supply-chain evidence missing — do not colour it green.
- Use gate and contractor-approval tools you already have for access control.
What FieldClear does not do
- It does not approve or onboard contractors.
- It does not replace a site-access or gate system.
- It does not appoint a principal contractor or write a CPP.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Can I track subcontractors?
Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
Does FieldClear get us CHAS or SafeContractor accredited?
No. Accreditation schemes set their own criteria and assess your organisation. FieldClear helps you keep the training records, expiry dates and evidence that audits often ask to see — it does not replace the accreditation process or guarantee a pass.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
Your training matrix already exists. Make it useful.
Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
