One person can run it
Small contractors do not have a training department. Import, attach evidence, set who gets the reminder — then get back to the job.

Quick answer
A training matrix for small contractors is a live record of who holds which assigned training and when it expires, sized for teams that currently keep Excel. FieldClear is for that job. It is not an LMS, not an accreditation service, and not a full HSEQ suite.
When the owner is the matrix
On a 25-person contractor the director or H&S lead is the spreadsheet. That works until they are on leave, a card expires mid-job, or a CHAS questionnaire asks for evidence that lives in a van. Software should take the recolouring away without inventing a new process.
A start that respects the sheet you have
- Download a template if you need a cleaner structure — or skip that if your sheet is already usable.
- Upload the file and map columns.
- Attach the certificates you can find in the first week; chase the rest as gaps.
- Turn on reminders to your own inbox if you are the only admin.
- Add a second user when someone else needs to update records.
What FieldClear does not do
- It does not replace your competent advice or legal duties.
- It does not accredit you to CHAS or anyone else.
- It is not an enterprise HSEQ, RAMS or COSHH product.
If you are a sole trader with a handful of dates, a diary may still be enough. FieldClear starts to earn its keep when more than one person edits the matrix, or when certificates expire without anyone noticing.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Who is FieldClear for?
Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.
When should we use FieldClear instead of Excel?
Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
Is my data private?
Each organisation's data is isolated from every other organisation's. Documents and records are encrypted in transit and at rest, access is controlled by user permissions, and you can export or delete your data at any time. We host in the UK and EU.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Does FieldClear get us CHAS or SafeContractor accredited?
No. Accreditation schemes set their own criteria and assess your organisation. FieldClear helps you keep the training records, expiry dates and evidence that audits often ask to see — it does not replace the accreditation process or guarantee a pass.
