CITB is not one expiry date
The HS&E test, a card application and a supervisor course are different records. Keep them as separate requirements so the wrong clock is not the one you watch.

Grant paperwork is not a matrix
Course bookings and levy returns do not tell you who is current next month. The tracker is the operational view; CITB systems remain CITB’s.

Refresher lead time is the failure mode
SMSTS and SSSTS refreshers need booking windows. Warnings exist so you do not discover expiry on the morning of a start.

Quick answer
A CITB training tracker in FieldClear means recording the CITB-related tests and courses your organisation assigns — with dates and evidence — inside a live matrix. It is not CITB, not a grant system, and not an LMS that delivers those courses.
Bookings in one place, currency in another
Someone books SMSTS through a provider, files the certificate in email, and updates a spreadsheet months later. The HS&E test date lives in a different column, or not at all. One matrix with named requirements stops the grant file being the only history.
Track what you assign; train elsewhere
- Map HS&E tests, SMSTS, SSSTS and any other CITB-related courses you assign to separate requirements.
- Import people and dates from the sheet or booking log you have.
- Attach certificates when they arrive.
- Set reminders that match how long your providers take to book.
- Keep using CITB or training providers for the actual courses.
What FieldClear does not do
- It does not replace CITB systems, grants or card applications.
- It does not deliver SMSTS, SSSTS or any other course.
- It does not decide who legally needs a CITB course.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Is this an LMS?
No. The product tracks workforce qualifications, evidence and expiry dates. It does not deliver e-learning courses or assessments.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
Who is FieldClear for?
Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.
How does the free trial work?
You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.
Your training matrix already exists. Make it useful.
Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
