Free SMSTS & SSSTS Training Matrix Template

Download a free Excel training matrix framed for site managers and supervisors — SMSTS, SSSTS and refreshers as separate columns so one green cell cannot hide a lapsed course.

  • Separate columns for SMSTS, SSSTS and refreshers
  • Conditional formatting for expired and expiring dates
  • Role requirements for managers vs supervisors
  • Pairs with dedicated SMSTS and SSSTS expiry trackers

What’s in the template

A workers-against-requirements Excel matrix framed for contractors who must show which managers hold SMSTS and which supervisors hold SSSTS — including refresher cycles that renew on different dates from the original course.

  • Manager and supervisor rows with role and worker type.
  • Conditional formatting from today’s date.
  • Blank vs N/A so supervisors are not marked missing for SMSTS.
  • Evidence location for certificates.
  • A role requirements sheet separating manager and supervisor expectations.

Do not merge SMSTS and SSSTS

They are different courses for different roles. A single “site management training” column creates false gaps for supervisors and false comfort when a manager’s refresher has lapsed but the original SMSTS date still looks “current” in someone’s head.

How to use it

  1. List site managers and supervisors (including subcontractors who run packages).
  2. Create separate columns for SMSTS, SSSTS and each refresher you assign.
  3. Enter certificate expiry or validity end dates as DD/MM/YYYY.
  4. Use N/A when a course does not apply to that role.
  5. Review before appointing a new package supervisor.
  6. When diary chasing fails, use the SMSTS / SSSTS expiry trackers or upload the matrix.

Disclaimer

SMSTS and SSSTS are CITB courses commonly requested on UK construction projects; they are not universally mandatory for every role. Your contracts and competent advice determine what you assign. This is not legal advice.

Questions people ask before signing up

Is the training matrix template really free?

Yes. Download the Excel file and use it however you like, including commercially. There is no obligation to try the software.

What is a training matrix?

A training matrix is a grid of workers against the training, qualifications and cards their roles require. Each cell shows whether that person holds that requirement and when it expires. It is the quickest way to see where the gaps are across a workforce.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I store certificates?

Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Outgrown your spreadsheet?

Upload the same file and turn it into a live matrix with automatic expiry reminders.
