Do I Need a Training Matrix as a Sole Trader?
You may not need a multi-worker spreadsheet if you only ever mobilise yourself — but you still need a clear list of your cards, courses, expiries and certificate files. Many principal contractors ask sole traders for the same evidence shape as small firms; a one-row matrix or tracker prevents last-minute scrambles.
Quick answer
If clients ask for training evidence, keep a dated list of your requirements with expiries and PDFs ready to send. When you start engaging others — even occasionally — expand to named rows immediately. Waiting until you have ten people is how sole traders inherit Excel chaos overnight.
When a simple tracker is enough
- You are the only named person on packages
- A handful of cards (CSCS, IPAF, first aid, trade tickets)
- Clients accept a short PDF or portal upload of your certificates
- You can see renewals coming without a team process
When to move beyond a folder of PDFs
Multiple sites, an apprentice, labour-only help, or frameworks with templates push you toward a real matrix. The template download is a sensible start; live software helps when reminders and client packs become frequent.
