What Part-66 AML tracking involves
A UK Part-66 Aircraft Maintenance Licence records the holder's licence categories and privileges under the UK Part-66 framework. Category detail, type ratings and company authorisations are separate layers and must not be collapsed into one 'AML current' status.
Why the dates get missed
- Five-year licence validity can be overlooked while company badges still look current
- Category, type and authorisation evidence live in different systems until a shift check
- Renewal or reissue lead times collide with heavy-check or line cover windows
- Limitations and exclusions are lost when only an expiry date is stored

Workers down the side, requirements across the top. Part-66 AML sits alongside everything else your organisation assigns, with the status worked out from the expiry date rather than typed by hand.

Told before it lapses
Reminders go out ahead of the date, to the people who can do something about it. You choose how far ahead and who receives them.

The certificate lives with the date
Attach a photo or PDF to the worker record so the proof and the date cannot drift apart. When a client asks for evidence, it is already assembled.

Tracking Part-66 AML across a workforce
Tracking AML expiry beside category and type records shows when a still-employed engineer will lose licence currency before a planned check or line roster, without treating the AML date as proof of type or certifying authorisation.
Excel ages every engineer under one 'licence' column and buries category codes in comments. The sheet stays green while the person needed for a B2 avionics release holds only a category that does not cover the task.
What to record against each worker
- Licence number and holder identity
- Categories and any limitations recorded
- Licence issue and expiry dates
- Legible licence evidence or CAA verification note
- Linked type ratings and company authorisations stored separately
Typical renewal cycle
UK Part-66 AMLs are commonly framed around a five-year licence validity period; confirm issue, expiry and any limitation details on the licence and verify current status with the CAA. Always use the date on the certificate or card in front of you — schemes and pathways differ, and free-text “current” cells hide the problem until someone is turned away.
A note on requirements
FieldClear tracks Part-66 AML dates and evidence you enter. It does not grant CAA privileges, renew licences, certify airworthiness or replace Part-145 authorisation systems; verify status with the CAA where required, and this is not legal or aviation regulatory advice.
You can keep using Excel. But Excel won’t chase expiries for you.
Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Plenty of contractors run a perfectly good spreadsheet for years. The question isn’t whether Excel works — it’s whether anyone is checking it the week something quietly expires.

Questions people ask before signing up
Can I get reminders before certificates expire?
Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.
Can I store certificates?
Yes. Attach supporting evidence such as PDFs and images to worker records, so the certificate sits alongside the expiry date rather than in a separate folder.
Can I import my existing Excel training matrix?
Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.
Does the software tell me which qualifications are legally required?
No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.
Can I track subcontractors?
Yes. Workers can be recorded as employees, subcontractors, agency workers or other worker types, and you can filter the matrix by type.
