What Is Training Matrix Software?
Training matrix software is a live table of workers against the training requirements your organisation assigns, with status calculated from real expiry dates, certificate files held against each record, and reminders before renewals. It replaces the fragile spreadsheet version of the same idea — it is not a learning management system and it does not decide what the law requires.
Quick answer
If you already keep a training matrix in Excel or SharePoint, training matrix software is that same record with three upgrades: status is calculated from today’s date, evidence sits with the date so they cannot drift apart, and the system can warn you before cards and courses expire. You still choose which requirements apply to which roles. The software organises and surfaces the evidence; it does not invent compliance rules.
What the product category actually covers
Most UK contractors, trades and facilities teams start with a spreadsheet: people down the side, courses and cards across the top, dates in the cells. That works until the file has several owners, agency rows, and clients asking for evidence packs at short notice. Training matrix software is built for that operational job — named people, assigned requirements, expiries, missing items and readable files — not for delivering e-learning modules or marking exams.
- Import from an existing Excel or CSV matrix so you do not retype a live workforce
- Automatic current / expiring / expired / missing status from real dates
- Certificate and card images attached to the worker requirement
- Role-based requirement lists so supervisors and operatives are not checked the same way
- Filters that surface gaps before mobilisation or audit
- Configurable reminders matched to booking lead times
- Export so you can still produce a dated pack for a client portal
How it differs from a spreadsheet
| Spreadsheet matrix | Training matrix software | |
|---|---|---|
| Status | Colour or formula you maintain | Calculated from today’s date |
| Evidence | Often a separate drive folder | Tied to the same requirement row |
| Reminders | Calendar entries or none | Configurable alerts on named people |
| Audit pack | Copy, filter, hope nothing moved | Filter and export a dated extract |
| Fails when | Two versions circulate | Requirements are wrong — same as any tool |
Who it suits
The category fits field-based employers who already run a matrix and need it to stay honest under client pressure — typically tens to a few hundred workers, mixed payroll and subcontract labour, and recurring SSIP or principal-contractor evidence requests. Enterprise learning suites can include a matrix module, but many mid-size contractors only need the operational layer: dates, files and reminders.
What it cannot do
Software cannot decide which qualifications a particular site or regulation demands, pass a CHAS or SafeContractor assessment for you, or prove that someone is competent beyond the training you have assigned and recorded. FieldClear tracks assigned requirements and dates only. Product and guide pages help you organise evidence; they do not accredit your organisation. This guide is operational information, not legal advice.
