What If Training Certificates Are Lost?
If a certificate or card image is lost, treat the requirement as missing evidence until you hold a readable replacement — even if you believe the training is still current. Contact the training provider or scheme for a reissue or verification, and store the new file centrally so the next audit does not start from someone’s glovebox.
Quick answer
Mark evidence missing, request a duplicate or verification from the issuer, and only restore “current” status when a readable file and date are back on the matrix. Do not invent dates from memory while you wait.
Replacement routes
| Record type | Typical recovery |
|---|---|
| CSCS / partner card | Scheme replacement or Smart Check plus physical card |
| CITB course certificate | Provider or CITB-aligned reissue process |
| IPAF / PASMA | Training provider duplicate |
| In-house briefing | Re-brief and re-sign if no file exists |
While you wait
- Keep status honest — missing evidence is not green
- Ask whether the site will accept scheme verification temporarily
- Prioritise workers due on site first
- Avoid circulating incomplete packs that imply you hold files you do not
Stop the repeat
- Upload every new certificate the day it arrives.
- Ban “I’ll file it later” for critical cards.
- Use reminders so renewals create new files before old ones vanish.
- Audit a sample of rows monthly for missing attachments.
Honest limits
FieldClear stores the files you upload and flags missing evidence against assigned requirements. It cannot recreate a certificate the issuer will not reissue. Not legal advice; does not certify competence.
