How to Set Up Automatic Certificate Expiry Reminders

Automatic certificate expiry reminders need real expiry dates, a clear list of who must hold what, notice windows (for example 30 / 60 / 90 days), named recipients, and a system that can email or notify without someone opening a spreadsheet.

Excel can colour cells with TODAY(). It will not reliably chase renewals while the file sits closed. “Automatic” means the reminder fires from the data — not from memory or a sticky note on a monitor.

What you need before reminders help

  1. One row (or cell) per person–requirement with a real expiry date — not “March” as text.
  2. Assigned requirements only — remind against what your organisation assigns for that role, activity, customer or site.
  3. Missing vs not-required rules so you do not nag people for columns that do not apply.
  4. An owner who will book the renewal when the reminder arrives.
  5. Evidence storage so the new certificate updates the same record.

Excel limitations (honestly)

  • Conditional formatting only works when someone opens the correct file version
  • No native email to supervisors or workers when a date approaches
  • Calendar exports and Power Automate flows are possible but brittle across shared drives and copy-paste versions
  • Multiple editors create conflicting “due” lists
  • Text dates and hand-coloured cells defeat any automation you bolt on

If your “reminder process” is a weekly sort by a careful H&S lead, that can work at small scale. It is not automatic — and it fails when that person is on leave.

Sensible notice windows

Many teams use 90 days for courses that are hard to book, 60 days as a planning horizon, and 30 days as urgent. Match windows to how long renewals actually take in your trade — not to a vendor’s default alone.

A practical setup sequence

  1. Clean the matrix: real dates, clear blanks, archive leavers.
  2. Confirm which requirements are assigned per role.
  3. Choose reminder windows and who receives them.
  4. Load the data into a certificate expiry tracker or training matrix tool that calculates status from today.
  5. Test with a known near-expiry row before trusting the whole roster.
  6. Act on the first week of alerts — automation without booking renewals just creates inbox noise.

Reminders do not decide what training is mandatory. They only surface dates you already chose to track. Requirements still vary by role, activity, customer and site.

When you are ready to stop relying on opening Excel, use a certificate expiry tracker that sends reminders from the same records as your live matrix.
