Training Matrix vs Training Record: What’s the Difference?

A training matrix is the overview: people as rows, assigned requirements as columns, dates and status in the cells. A training record is the individual file for one person — what they hold, when it expires, and where the evidence lives.

You usually need both. The matrix answers “who is current for this role or job?” The record answers “show me this person’s certificates and history.” Mixing the names causes teams to build one spreadsheet that does neither job well.

What belongs in the matrix

  • Worker identity and role (and worker type if you track subcontractors)
  • Requirements your organisation assigns — not a generic internet checklist
  • Expiry or completion dates as real dates
  • Clear missing vs not-required markers
  • A pointer to evidence (path, attachment, or record link)

What belongs in the individual record

  • Certificate or card images and course confirmations
  • Issue and expiry dates with provider or card numbers if you record them
  • Induction acknowledgements and internal process completions
  • Notes on renewals booked or evidence outstanding
  • History when someone renews or changes role

How they work together

The matrix is a lens on the same underlying records. When a date updates on the person, the matrix cell should change. When a supervisor needs proof, they open the record — not a scavenger hunt through email. Software that keeps evidence on the worker row makes that link automatic; a shared drive plus a grid requires discipline.

  • Calling a skills / proficiency grid a “training record”
  • Keeping only PDFs with no overview of who is current
  • Keeping only a matrix with no files behind the dates
  • Assuming the matrix decides what is legally mandatory — it does not; your organisation assigns requirements by role, activity, customer and site
