What Is a Training Matrix?

A training matrix is a table showing which workers have completed which training or qualifications, and when those records expire.

Rows are people. Columns are requirements your organisation assigns — cards, courses, licences, inductions. Cells hold dates, statuses or notes. That is the whole idea.

What it is for

Operational teams use a training matrix to answer practical questions quickly: who meets assigned requirements for a role or job, what is expiring this month, what is already expired, and where evidence is missing.

  • Who is current against the requirements assigned to their role
  • What expires in the next 30, 60 or 90 days
  • What has already expired
  • What has never been recorded
  • Where the certificate or card image lives

What it is not

A training matrix is not a learning management system. It does not deliver e-learning or mark assessments. It is also not a legal determination of what training must exist — your organisation decides which requirements apply to which roles, activities, customers and sites.

Training matrix vs skills matrix

A skills matrix rates capability (how well someone can do something). A training matrix records holdings and dates (what they have completed and when it expires). They are adjacent; they are not the same. Mixing both into one spreadsheet is a common reason neither stays accurate.

How most UK contractors start

  1. List workers (including subcontractors and agency staff if you need them on the same view).
  2. List the requirements each role is assigned — examples might include CSCS, IPAF, first aid or company inductions.
  3. Enter real expiry dates, not free-text months.
  4. Distinguish blank (missing) from not required.
  5. Note where evidence is filed.

That works in Excel until the file has too many owners, too many versions, or too many dates for anyone to review every week. At that point the matrix still looks fine — it just stops being trustworthy.

When software helps

Software does not invent a new shape. It keeps the grid and adds three things spreadsheets struggle with: status calculated from today’s date, evidence attached to the row, and reminders before renewals are due.
