Should a Training Matrix Include Office Staff?

Include office-based people if your organisation assigns them training or appointment requirements that expire or need evidence. Keep their role baseline honest — usually a short set — and filter them out of site mobilisation views so they do not dilute gate checks.

Yes for assigned office requirements (company induction, first-aid appointments, fire marshal, mental-health first aid, role-specific modules). No for pretending every office row needs CSCS and IPAF. Use roles and filters so site and office views stay separate.

When office rows earn their place

  • They hold statutory or company appointments with renewals
  • Clients or insurers ask for named office H&S cover
  • Hybrid staff sometimes go to site and need gate cards tracked
  • You want one evidence store instead of a second spreadsheet

Structure tips

  1. Create an office / support role baseline with only relevant columns.
  2. Mark site-only requirements as not required for pure office roles.
  3. Tag hybrid staff who visit sites so filters can include them when needed.
  4. Review office appointments on the same cadence as site critical cover.

If office training lives only in an LMS, push completion dates into the matrix for anything that must appear beside site evidence in audits.
