How to Track Self-Employed Subcontractor Training

Track self-employed subcontractors as named people on the same matrix discipline you use for employees: assigned requirements, real expiries and readable files. Do not accept a one-line email that “all tickets are current” without names and dates.

Quick answer

Onboard each self-employed worker with identity, role, required cards and certificate uploads before mobilisation. Re-check expiries on the same reminder cycle as payroll staff. Their employment status does not remove gate or client evidence expectations.

What good looks like

  • Named row per person, with trading name if needed
  • Employer/engager field for supply-chain clarity
  • CSCS, task tickets and inductions as separate requirements
  • Evidence owned by your process even if they paid for the course
  • Offboarding when they stop being used

Collection workflow

  1. Issue a short evidence list matching the package.
  2. Set a deadline before induction.
  3. Verify names on certificates match the worker.
  4. Enter dates; reject unreadable files.
  5. Remind them directly as expiries approach — do not wait for a site refusal.

Common failure modes

Shared “gang” folders with no owners. WhatsApp photos that omit the expiry. Assuming a limited-company umbrella has checked tickets when they have not.

Honest limits

FieldClear tracks assigned requirements for subcontractors you add. It does not determine employment status or certify competence. Not legal or tax advice.
