How to Track IPAF and PASMA Expiry Dates

IPAF (MEWP) and PASMA (mobile access towers) credentials are widely requested on construction and FM sites, but they are not universally mandatory for every worker. Requirements vary by role, activity, customer and site. Track what your organisation assigns.

IPAF: categories matter

An IPAF card for one machine category does not automatically cover another. Record the categories held, not just “has IPAF.” When allocating plant, check the category against the equipment on site.

• Worker name and employer
• IPAF categories held (as printed / recorded)
• Expiry date per relevant category if they differ
• Card or certificate image
• Whether IPAF is assigned for their current work

PASMA: watch batch expiry

Teams often train towers in groups, so many PASMA dates cluster. That creates renewal bottlenecks — half the gang due the same month. Track PASMA as its own column or rows, and plan courses before the cluster hits.

One tracker, two columns (or more)

On a training matrix, give IPAF and PASMA separate columns so filters stay clean. On a flat expiry list, use one row per person–credential (and per IPAF category if dates differ).

Review rhythm

1. Filter workers assigned MEWP or tower work.
2. Sort IPAF by soonest expiry; confirm categories for booked plant.
3. Sort PASMA; if many share a month, schedule a group course.
4. Update dates and files on renewal day.
5. Mark Not required when the activity does not apply — do not leave ambiguous blanks.

Evidence

Keep card/certificate images with the record. Site managers often ask for proof at short notice when hire equipment arrives.
