How to Track CSCS Card Expiry Dates Across Your Workforce

Track CSCS card expiry by recording each worker’s card type, real expiry date and evidence image, then reviewing a rolling due-soon list for anyone you send to sites where your organisation or customer assigns a site card requirement.

Important: CSCS cards are not universally mandatory across all UK work. Many principal contractors and customers require an appropriate site card for access, but requirements vary by role, activity, customer and site. Your tracker should reflect what you have assigned — not an assumption that every person on every job needs CSCS.

What to capture per worker

  • Full name matching the card
  • Card type / colour or occupation as shown (as you record it internally)
  • Registration number if you use it for checks
  • Expiry date as a real date
  • Clear photo or scan of the card
  • Employer / subcontractor company
  • Whether CSCS (or equivalent) is assigned for their current roles

Matrix column vs dedicated CSCS list

A construction training matrix column works when CSCS sits beside other assigned requirements. A dedicated CSCS expiry list works when site access cards are the weekly bottleneck. Many teams keep both views of the same data.

Workforce-wide rhythm

  1. Filter to workers where a site card is assigned.
  2. Sort by earliest CSCS expiry.
  3. Chase renewals 8–12 weeks out if booking tests takes time in your area.
  4. Update the date and image the day the new card arrives.
  5. Re-check subcontractors when the gang changes.

Evidence that survives a gate query

Store a legible card image against the person. A typed date without a file often fails when a site manager asks for proof at short notice.

Common mistakes

  • Assuming every trade always needs CSCS regardless of customer/site
  • Tracking company-level “we’re CSCS compliant” without named individuals
  • Ignoring card type when the customer specifies occupation cards
  • Letting Excel text months break sorting

For a focused workflow, use a CSCS expiry tracker that calculates status and keeps the card image with the date.
