What the example is trying to show

• Identity and role first — so you can filter employed vs subcontractor
• Only columns you actually assign (delete vanity columns)
• Real date values so you can sort by soonest expiry
• Explicit missing vs not-required — never leave meaning to guesswork
• Evidence called out so a date is not orphaned

How to adapt it for your sites

1. List the people you allocate to work (including named subcontractors if your process covers them).
2. Write down requirements you assign per role and customer — examples might include site cards, access equipment, plant, inductions.
3. Enter genuine dates from certificates; mark N/A where not assigned.
4. Add an evidence column or attachment link.
5. Review anyone mobilising within your chosen horizon (for example 60 days).

Common mistakes when copying examples

• Treating a blog table as a mandatory legal set of columns
• Colouring cells by hand instead of deriving status from today’s date
• Leaving blank cells that could mean anything
• Tracking dates without files
• Forgetting subcontractors who still go through the gate

Prefer a clean construction template over inventing columns from scratch — then replace sample data with your workforce. When version chaos starts, upload the same shape into software.
