Training Gap Analysis Software That Uses Real Dates

See missing, expired and expiring records against the requirements you assign — without building a separate “gap analysis” spreadsheet every month.

  • Gaps = missing, expired or expiring against assigned roles
  • No monthly copy of the matrix into a second file
  • Evidence on the same record as the gap
  • Import the sheet you already colour by hand

A gap is a status, not a workshop exercise

Most “gap analyses” are a snapshot that is wrong the following week. Calculate missing and expired from today’s date against roles you set.

Filter the people who actually start on Monday

A company-wide gap list is noisy. Filter to a gang, site or worker type and chase the rows that block mobilisation.

Close gaps with reminders, not another workshop

Once the missing rows are visible, warnings keep them from returning between reviews.

  • Expired and missing as a work list
  • You choose recipients
  • Links to the workers involved

How it works

From spreadsheet to live matrix in minutes.

No implementation project. No onboarding calls. Start with the file you already maintain.

  1. Step 1: Upload your matrix

Import your existing Excel or CSV file.

  2. Step 2: We organise it

Map workers, roles, requirements and expiry dates.

  3. Step 3: See what needs attention

Instantly see expired, expiring and missing requirements.

Quick answer

Training gap analysis software in FieldClear means comparing each worker to the requirements their role is assigned, then listing what is missing, expired or expiring. It is not a consultancy workshop, an LMS curriculum planner, or a legal assessment of what training you must provide.

The monthly gap-analysis file

Someone copies the matrix, adds a “gap” column, and presents it at the H&S meeting. By the next meeting the copy is stale, the live matrix has moved on, and nobody can say whether a blank meant missing or not required. Status calculated daily removes the copy step.

A practical gap view

  1. Assign requirements to roles — including N/A where a column truly does not apply.
  2. Import workers and dates from the sheet you already keep.
  3. Filter to expired, expiring and missing.
  4. Attach evidence as gaps close so they do not reopen at audit.
  5. Use reminders so the same names do not return every month.

What FieldClear does not do

  • It does not tell you which training is legally required.
  • It does not produce a competence judgement or training-needs analysis in the HR sense.
  • It does not book courses or mark e-learning complete.

You can keep using Excel. But Excel won’t chase expiries for you.

Excel is flexible, familiar and free, which is exactly why almost every contractor starts there. The limitation isn’t the spreadsheet — it’s that a spreadsheet can only tell you what someone last typed into it.

Questions people ask before signing up

When should we use FieldClear instead of Excel?

Use FieldClear when more than one person edits the matrix, when certificates expire without anyone noticing, or when you need evidence attached to the same record as the date. A carefully maintained spreadsheet can still work for a tiny team with one owner; FieldClear is for when the spreadsheet has become an active operational job.

Can I import my existing Excel training matrix?

Yes. Upload an Excel or CSV file, map the columns to workers, roles, qualifications and expiry dates, then preview the result. Nothing is created until you confirm the import.

Does the software tell me which qualifications are legally required?

No. The system helps you track the requirements your organisation assigns. You remain responsible for determining what applies to your workers and activities. We do not provide legal or health and safety advice.

Can I get reminders before certificates expire?

Yes. The system monitors expiry dates and sends reminders in advance. You choose how far ahead reminders are sent and who receives them.

Who is FieldClear for?

Contractors, trades and facilities teams that keep a training matrix or certificate register — typically about 10 to 200 active workers. It fits teams replacing Excel for expiry tracking, evidence and reminders. It is not an LMS, not an accreditation service, and not a full HSEQ suite for RAMS, COSHH or equivalent site documentation.

Is this an LMS?

No. The product tracks workforce qualifications, evidence and expiry dates. It does not deliver e-learning courses or assessments.

How does the free trial work?

You get 14 days with the full product and no card required. Import your matrix, invite colleagues and see whether it fits how you work. If you do nothing at the end of the trial, the account simply stops.

Your training matrix already exists. Make it useful.

Upload your spreadsheet and turn it into a live view of who’s current, what’s expiring and what needs attention.
