When Should You Remove Someone from the Training Matrix?

Remove someone from the live training matrix as soon as they are no longer available for mobilisation — leavers, finished subcontract packages, and agency ends. Archive their evidence for retention. Do not leave inactive names showing green cover on Monday filters.

Trigger removal (or inactive status) on the leaving or demobilisation date. Keep files per your retention schedule. Prefer inactive/archive flags over hard-deleting rows you may need for audits or disputes.

Triggers that should move a row

  • Employment or engagement ended
  • Subcontract package complete and no return planned
  • Agency assignment finished
  • Duplicate row merged into a single worker identity
  • Long-term absence where your process moves people to a non-mobilisable pool

  1. Mark inactive or archive on the matrix.
  2. Reassign critical cover (first aid, fire marshal, appointed person) if they held it.
  3. Exclude them from client packs and portal uploads.
  4. Confirm deputies know who owns renewals for remaining crew.

Returning workers need a deliberate reactivation and date re-check — do not assume last year’s greens still hold.
