When a Skills Matrix Is Not Enough
A skills matrix rates how well someone can perform tasks. It is not enough when clients, gates or insurers need dated cards and certificates with evidence. Keep proficiency separate from expiry tracking — or you will fail both jobs.
Quick answer
If a lapsed CSCS, IPAF or first-aid certificate can stop work, you need a training matrix with dates and files. Keep the skills matrix for capability planning and appraisals. Mixing star ratings with expiry dates in one cell is a common reason neither stays accurate.
Signals you have outgrown skills-only
- Principal contractors ask for card faces and expiries
- SSIP assessors sample named certificates
- Plant tickets gate your yard or site
- You cannot answer who expires this month
- Agency workers never appear on the skills grid

Practical split
- Move all dated qualifications into a training matrix.
- Leave proficiency reviews on their own cadence.
- Link the two by person ID if needed — do not merge cells.
- Train supervisors on which tool answers which question.
