Training Matrix vs Skills Matrix: What’s the Difference?

A training matrix records what someone holds and when it expires. A skills matrix rates what they can do and how well. Use both if you need both — but not as one muddy spreadsheet.

Why people confuse them

Search results and internal jargon often use the terms interchangeably. In practice, contractors usually need expiry tracking more urgently than proficiency scoring — because a lapsed card blocks a gate, while a soft skill rating rarely does.

Competency matrices

“Competency matrix” is often used as another label for a skills matrix. Treat it the same way: useful for capability planning, not a substitute for tracking certificates with dates.

A practical split

  • Keep proficiency reviews in a skills matrix you revisit on a schedule
  • Keep cards, courses and licences with expiry dates in a training matrix
  • Attach evidence to the dated records
  • Do not colour training cells by hand if software can calculate status

If you searched for skills matrix software

Be honest about the job. If your sheet is mostly qualifications with dates, you need training matrix software. If you need subjective skill ratings across a team, start with a skills matrix template and review process — and still track expiries separately.
