Training Matrix for Small Contractors

A small contractor does not need an enterprise HSEQ suite to keep cards and courses visible. Start with clear roles, real dates and one owner—and move beyond Excel when versions and evidence start to break trust.

Keep the matrix proportional to the workforce

With roughly ten to thirty people, the failure mode is rarely “too many columns”. It is usually one overloaded spreadsheet emailed around, certificates in a van glovebox, and the director discovering an expired CSCS the morning a principal contractor asks. Define a short role set—operative, supervisor, plant where relevant—and assign only the requirements you actually enforce. Resist copying a hundred-column template from a national contractor.

Minimum viable checklist for a small firm

  • Named people including regular subcontractors you mobilise repeatedly
  • Role and assigned requirements (cards, first aid, supervisory courses where used)
  • Real expiry dates and a missing versus not-required rule
  • One evidence folder or upload location per person
  • Single editor (or clear edit windows) so versions do not fork
  • Monthly 90-day expiry review tied to the programme
  • Simple export ready for the next client or SSIP sample

A workable weekly rhythm

Small teams win by habit, not by dashboards. Fifteen focused minutes beats an annual clear-out.

  1. Update starters, leavers and known substitutes every Monday.
  2. Attach any certificates received that week before they vanish into WhatsApp.
  3. Scan the next 90 days of expiries against upcoming work.
  4. Book or escalate renewals the same day you spot them.
  5. Before each new site, filter the named gang—not the whole company list.
  6. Once a month, spot-check three rows against physical or PDF evidence.

When Excel is still fine—and when it is not

Excel or a simple template can work while one person owns the file, evidence lives in one place, and clients accept a clean named extract. Pain arrives when a site manager keeps a private copy, when filters hide expired rows before saving, or when photo evidence never links back to the cell. At that point uploading into purpose-built tracking is usually cheaper than another “final_v7” workbook.
