SharePoint Training Matrix Alternative

SharePoint is excellent for document libraries and controlled policies. It is an awkward home for a live training matrix once you need role assignment, expiry filters and named audit exports. Consider a purpose-built tracker when list views start hiding risk.

Where SharePoint helps—and where it stalls

Many contractors store certificates in a SharePoint library and try to drive status from a list or linked Excel web part. Versioning and permissions are strengths. Weaknesses appear when columns multiply per course, when Power Automate flows break quietly, and when site managers cannot answer “who is expired for Monday’s gang?” without exporting to Excel anyway. If your SharePoint build is mainly a file dump with a disconnected spreadsheet, you already have two systems pretending to be one.

Evaluation checklist before you replace or keep

  • Can non-admins filter expiries across all requirements in a few clicks?
  • Are evidence files bound to a person and requirement, not only a folder path?
  • Do role templates prevent every worker inheriting every column?
  • Is there an audit history when dates change?
  • Can you export a client pack without breaking list views?
  • Who maintains Power Automate or list settings when staff change?
  • Does the vendor or internal build claim compliance guarantees you cannot defend?

Transition workflow from SharePoint-centric tracking

You do not need to abandon SharePoint for policies and method statements. Move the live people-status problem to a tool designed for it, and keep SharePoint for controlled documents.

  1. Inventory lists, libraries and spreadsheets that currently hold training dates.
  2. Choose a single operational system of record for worker requirements going forward.
  3. Migrate people, requirements and dates; deep-link or upload key evidence.
  4. Leave historical certificate folders in SharePoint with clear archive labels if needed.
  5. Retrain coordinators and site managers on the new expiry views.
  6. Decommission duplicate lists so staff cannot update the wrong place.

Buyer notes for construction teams

Principal contractors often ask for rapid named returns. List views that require custom column knowledge slow those responses. Purpose-built matrices typically model requirements as data rather than as endless SharePoint columns, which scales better when you add IPAF categories or client inductions. Keep Microsoft 365 for collaboration; stop forcing it to be a credential register if that is where errors concentrate.
