How to Update a Training Matrix When a Role Changes
A role change means the assigned requirement set changes. Update the worker’s role on the matrix, apply the new role’s requirements, close any gaps before they start the new duties, and mark old requirements as not required or historical rather than leaving misleading greens.
Quick answer
Change the role first, then let the requirement list update, then book missing training with dates that protect the start of the new duties. Do not wait until the first site audit after promotion to notice SSSTS or SMSTS was never assigned.
Change sequence
- Confirm the new role title and start date.
- Update the role on the worker record.
- Review newly assigned requirements versus holdings.
- Book gaps with owners and target dates.
- Retire requirements that no longer apply — keep history.
Promotion pitfalls
- Supervisor courses assumed “because they were good tradespeople”
- Acting-up ending without removing temporary requirements
- Old plant categories left as if still authorised
- Client packs still showing the previous trade
Evidence hygiene
Keep certificates that still matter. Archive ones that no longer support current duties but may be needed for retention. Status should reflect the current role’s assigned set.
Honest limits
FieldClear applies the role-to-requirement mapping you configure. It does not decide which training a promotion legally requires. Not legal advice; does not certify competence.
