How to Keep a Construction Training Matrix Up to Date
Keep a construction training matrix up to date by giving it one owner, updating on join/leave/renewal events, and running a short expiry sweep before every mobilisation — not by hoping the spreadsheet stays true on its own.
Stale matrices look professional. They just fail at the gate. Currency is a process, not a formatting choice.
Name a single system of record
One live file or one software workspace. Snapshots for clients are fine; five editable copies are not. If supervisors must suggest changes, they propose edits to the owner — they do not fork the sheet.
Event-driven updates
- Starter: add row, assign role requirements, collect evidence
- Leaver: archive or mark inactive the same day
- Role change: re-check which requirements apply
- Renewal: replace expiry date and file the new card/certificate
- New customer/site: confirm assigned requirements may differ
Requirements vary by role, activity, customer and site. A matrix that never revisits assignments will slowly lie even if every date was typed correctly once.
Time-driven sweeps
- Weekly: sort active workers by earliest expiry (30-day focus).
- Before each site start: filter the named gang only.
- Monthly: chase missing evidence separately from due-soon dates.
- Quarterly: remove obsolete requirement columns your organisation no longer assigns.
Stop manual status colours
If status depends on someone remembering to turn a cell green, it will drift. Use TODAY()-based formatting in Excel or calculated status in software.
Subcontractors and agency
Treat gang changes as events. When a subcontractor swaps a name, require records before they attend — do not inherit last month’s assumptions.
