Track qualifications across a mobile workforce by keeping one live register of people, assigned requirements and expiry dates that supervisors can check before dispatch — not by waiting until engineers return to the office with paper certificates.
Facilities management and field service teams face a different failure mode from fixed-site construction: the worker is already travelling when someone notices a lapsed credential. Visibility has to travel with the rota.

Requirements vary by role, activity, customer and site. A national FM contract may assign different inductions per building even when the trade qualification is the same.
Dispatch-time checks
- Job raised with customer/site requirements noted.
- Filter available workers who meet assigned requirements.
- Reject anyone expired or missing evidence for those items.
- If using a subcontractor, demand records before they travel.
- After renewal on the road, update the register the same day from a phone upload if needed.
Avoid local spreadsheet islands
Regional Excel files feel faster until two regions send the same engineer with different “truth.” One system of record — spreadsheet only if truly central, otherwise software with upload.
Expiry horizons for field teams
Use a longer lead time than office roles when booking courses means pulling someone off the rota. A 60–90 day due-soon window is common when diaries are dense.
Evidence without office visits
- Accept clear phone photos at intake
- Standard filenames even when uploaded from site
- No “bring the card next time you’re in” as the only process
