How to Track Booked but Not Completed Training
A booking confirmation is a plan, not a pass. Keep the matrix showing the current (or missing) evidence state, and track the booking in a separate note, column or task list until the certificate or card lands.
Quick answer
Do not overwrite an expired date with the course date before attendance. Add a “booked for / provider / reference” note or workflow task. Update the official date only when readable evidence is in hand.
Why bookings get mistaken for completions
Supervisors need to show they “sorted it”. Gates and auditors need proof someone passed. If your sheet turns green on booking, people travel on hope. Failed tests and no-shows then sit invisible.
- Separate fields: current expiry vs next booking date
- Status values that include Booked / Awaiting evidence
- Owner responsible for chasing the certificate after the course
- Monday filter that still flags expired cards even if a booking exists
- Log the booking with date and provider.
- Leave matrix status based on last hard evidence.
- Collect the certificate within an agreed number of days after the course.
- Update expiry and attach the file — then clear the booking flag.
