Google Sheets Training Matrix Limits

Google Sheets is convenient for shared editing, but it inherits spreadsheet limits: fragile permissions, link-only evidence, filter mistakes and no strong audit story when dates change. Know the breaking points before a client pack fails.

What Sheets does well—and where contractors get hurt

Real-time collaboration and familiar formulas help small teams start quickly. Pain appears when anyone with the link can overwrite expiries, when offline mobile edits sync late and clobber a coordinator’s clean-up, and when certificate “evidence” is a Drive link that breaks after a folder reorganise. Unlike a locked desktop Excel file, Sheets invites broad sharing; that is useful for viewing and dangerous for structural edits.

Limit checklist to review honestly

  • Who can edit requirement columns versus who should only view
  • Whether evidence files are bound to rows or scattered in Drive
  • How you prevent filters from hiding expired people before a share
  • Whether date changes leave a usable history for audits
  • How agency substitutes get named rows without duplicating tabs per supplier
  • What happens when someone copies the Sheet and creates a second “master”
  • Whether reminders depend on fragile Apps Script nobody maintains

Decision workflow: keep, harden or replace

You do not need to abandon Sheets for every list. Move the live credential register when operational risk exceeds convenience.

  1. List current editors and whether protected ranges actually hold.
  2. Count how often conflicting copies or broken Drive links appeared last quarter.
  3. Time how long a named client export takes from the live Sheet.
  4. If limits dominate, choose a purpose-built tracker and plan import.
  5. Migrate people, requirements and dates; re-attach key evidence.
  6. Leave historical Sheets read-only so staff cannot update the wrong place.

How this differs from SharePoint-centric pain

SharePoint problems often centre on list column sprawl and Power Automate fragility. Google Sheets problems centre on unbounded editors, copy-forking and Drive link rot. The cure is similar—make people-status a system of record with role assignment and expiry views—but the migration inventory differs: export Sheets tabs and Drive folders rather than SharePoint lists and libraries. Keep Google Workspace for collaboration documents; stop forcing a Sheet to be the credential register if that is where errors concentrate.
